1. Who we are

This website, emixpro.com, is operated by emixpro LTD. We are the data controller for the personal information described in this policy.

2. What this policy covers

This policy explains what personal information we collect through this website, why we collect it, who it is shared with, and what rights you have over it. It applies to visitors to emixpro.com. It does not cover any other website we link to, including Belgrave Audio Mastering, which has its own policy.

3. Information we collect

When you use the contact form

The contact form asks for the following, and nothing else:

  • Your name
  • Your email address
  • A subject, chosen from a fixed list
  • Your message

What you send is delivered to us as an email. It is not saved in the website’s database and it is not added to any mailing list. We do not have a newsletter and we will not send you marketing.

Preventing automated abuse

The form carries three protections that run without asking anything of you:

  • A hidden field that ordinary visitors never see or fill in, but automated scripts do.
  • A timing check that discards submissions completed unrealistically fast.
  • A rate limit, so the same source cannot flood the form.

The rate limit needs to recognise repeat attempts. To do that we take your IP address, convert it into a one way code, and hold only that code for a short period. Your IP address itself is not written down or kept.

The form also uses Cloudflare Turnstile, a check that confirms you are a person rather than a script. It usually completes on its own with nothing for you to click. To perform that check your browser communicates with Cloudflare, which processes technical information such as your IP address and browser characteristics. Cloudflare does not use this to build advertising profiles.

Automatically, when you visit

Our hosting provider keeps standard server logs, which record things such as IP addresses, the pages requested and the time of the request. These are generated by the server itself, are used for security and diagnosing faults, and are not used to identify individual visitors.

Analytics

If you agree to statistics cookies, we use Google Analytics to understand how the site is used, for example which pages are visited and how people arrive. This tells us how the site is performing as a whole. It is not used to identify you personally. Google Analytics 4 does not log or store IP addresses: your IP is used momentarily to work out an approximate location, then discarded.

Analytics does not run at all unless you agree. If you decline, or ignore the banner, no analytics cookies are set and nothing is sent to Google.

What we do not do

  • We do not run advertising or tracking cookies.
  • We do not sell, rent or trade personal information to anyone.
  • We do not make automated decisions about you or carry out profiling.
  • We do not knowingly collect information from children.

4. Why we use it, and our legal basis

5. Who your information is shared with

We use a small number of service providers who process information on our behalf, under contract and on our instructions.

ProviderWhat they handle
SiteGroundWebsite hosting, including server logs
GoogleDelivery of email sent from the site, including your contact form enquiry, and of our mailbox at info@emixpro.com. Also Google Analytics, where you have agreed to statistics cookies
CloudflareThe Turnstile check that confirms form submissions come from a person
VimeoHosting and playing our videos, but only from the moment you click play

Some of these providers are based outside the United Kingdom. Where information is transferred abroad, it is protected by the safeguards required under UK data protection law, such as approved standard contractual clauses or a UK adequacy decision.

We may also disclose information where we are required to by law.

6. How long we keep it

  • Contact form enquiries. Kept as an email for 24 months, after which they are deleted, unless we go on to work together and business records need to be kept for longer.
  • Anti abuse checks. The one way code described in section 3 expires within about a minute and is not recoverable afterwards.
  • Server logs. Kept for a short period by our host on their standard schedule.
  • Cookies. Kept for the periods set out in our Cookie Policy.

Where we have a legal or accounting duty to keep records, for example after taking on paid work, we keep those records for as long as that duty requires.

7. Cookies

Cookies that are strictly necessary for the site to function are set automatically. Anything beyond that is set only if you agree, and you can change your mind at any time using the cookie preferences link in the footer. Our Cookie Policy explains each cookie in full.

8. Video

Videos on this site play in the page, but they are not loaded until you ask for them. Until you click play, the page shows only a still image served from our own website: nothing is requested from Vimeo, no Vimeo cookie is set, and Vimeo is told nothing about your visit.

When you click play, Vimeo’s player loads and takes over that part of the page, giving you the full set of playback controls. From that moment Vimeo receives your IP address and may set its own cookies, exactly as if you had watched the video on Vimeo’s own site, and Vimeo’s privacy policy governs what it does with that information.

9. Keeping information secure

The site is served entirely over an encrypted connection. Access to the systems holding enquiry emails is restricted and protected by strong authentication. No system can be guaranteed completely secure, but we take reasonable steps appropriate to the small amount of information involved.

10. Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal information we hold about you
  • Have inaccurate information corrected
  • Ask us to delete information, where there is no overriding reason to keep it
  • Ask us to restrict how we use it
  • Object to use that relies on our legitimate interests
  • Receive information you gave us in a portable format
  • Withdraw consent at any time, where we relied on consent

To exercise any of these, email info@emixpro.com. We will respond within one month. There is no charge.

11. Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator, at ico.org.uk, by telephone on 0303 123 1113, or at Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

12. Changes to this policy

If we change this policy we will update the date at the top of the page. Where a change materially affects you, we will make that clear on the site.

13. Contact

Questions about this policy, or about the information we hold, go to info@emixpro.com, or by post to emixpro LTD, 71 to 75 Shelton Street, London, WC2H 9JQ, United Kingdom.
